Solo trainers and coaches take vacation with (1) covering trainer for in-person sessions during absence, (2) pre-scheduled programming for online clients (most can run on programmed workouts for 1-2 weeks), (3) auto-response for inquiry leads with realistic re-engagement timing. Most personal training practices can take quarterly 1-week vacations easily.
Either skip the week (most are fine) or covering trainer takes sessions. Covering trainer split: typically 70/30 in covering trainer's favor for the week.
Most run on programmed workouts that can continue 1-2 weeks without check-ins. Pre-schedule the next 2 weeks of programming before leaving.
Hire a substitute instructor or cancel the week (most studio members understand).
2 weeks before: tell every active client. 'I'll be out [dates]. We can either skip the week or use [covering trainer] for in-person. Online clients: I've programmed your next 2 weeks already.'
Most clients respond positively. The few who can't tolerate any disruption are revealing client-fit issues you should address regardless.
Schedule check-in messages and program reviews for the week BEFORE you leave to cover the absence window.
If clients message during your absence, auto-respond with: 'I'm out through [date], your program is set, I'll review your check-in when I'm back. For urgent technique questions, [covering trainer] is available.'
