Solo therapists and counselors take less vacation than almost any other profession — and have the worst burnout rates as a result. The reason is real: client crises don't pause. The fix involves covering clinicians, ethical disclosure, and a routing layer for non-emergency contact.
Quick answer
Solo therapy practice vacation requires (1) a covering clinician with appropriate scope and supervision arrangements, (2) clear written disclosure to active clients with covering clinician contact info, (3) a defined 'crisis vs. urgent vs. routine' triage so most contact never needs to reach you. Bar / state board rules vary — check yours on covering arrangements. Note: HIPAA-compliant routing is required for clinical communication.

OutOfOfficePro is not currently HIPAA-compliant.
For administrative routing (scheduling, billing, non-PHI), it works. For PHI, use a HIPAA-compliant alternative.
Administrative. Scheduling, billing, intake questions. → Routed to admin handler or auto-replied.
Pre-vacation client communication
Notify active clients in session 4-8 weeks before vacation, in writing 2-3 weeks before, and again at the last session before the absence.
Template: 'I'll be on vacation from [start] through [end]. Dr. [Covering Name] will be available for any urgent clinical needs during that window — their direct number is [phone]. For genuine emergencies, please call 988 or go to your nearest ER. We'll resume our regular sessions on [return date].'
What clients actually need (vs. what you fear)
Most clients need consistent permission to take care of yourself, modeled. The fear that 'they'll fall apart without me for two weeks' is rarely borne out — secure attachment and good clinical work both make brief absences tolerable.
Clients who genuinely can't tolerate the absence are revealing clinical material that the absence is helpfully surfacing. That's not a reason to skip vacation; it's grist for the work.
// Administrative routing only
OutOfOfficePro is for non-PHI routing.
Use it for scheduling, billing, and admin during your absence. For clinical routing, choose a HIPAA-compliant solution.
